Accepted formats and upload requirements
Ctaima accepts the most common file formats used in workplace activity coordination (CAE) and occupational risk prevention (PRL). Before uploading any document, we recommend reviewing these requirements to avoid upload errors.
Maximum file size
The maximum file size is 16,384 KB (approximately 16 MB). If your file exceeds this limit, you won't be able to upload it and will need to reduce its size before trying again.
Recommendations for scanned documents
If you're uploading scanned documents, follow these guidelines to keep the file size as small as possible without losing readability:
Grayscale (not colour)
Resolution of 100 dpi (dots per inch)
How to compress a file if it exceeds the limit
If your document is larger than 16,384 KB, you can reduce its size before uploading. Here are the most common options:
For PDF files:
Use free online tools such as ilovepdf.com or smallpdf.com
In Adobe Acrobat, go to File > Save as Other > Reduced Size PDF
For images (JPG, PNG):
Use tools like squoosh.app or tinypng.com
Reduce the resolution to 100 dpi and save in grayscale if it's a scanned document
⚠️ Important: always check that the document is still legible after compressing. A file that is too compressed may make validation difficult.
What happens if a file was already uploaded?
If the document already had an attached file and you upload a new one, the previous file will be automatically overwritten. The document status will also change to "Pending validation", meaning it will need to go through the validation process again.
ℹ️ Please note: if the document was already validated, it will lose that status when the file is overwritten. Make sure you upload the final version before requesting validation.
